About this role
Contract document control role supporting Oklo's advanced reactor EPC projects and internal processes. You'll manage the full lifecycle of project documents—from receipt through archival—ensuring accuracy, traceability, and regulatory compliance across engineering, procurement, construction, and commissioning phases. This role supports nuclear facility development and has potential to convert to permanent after 6 months.
Responsibilities
- —Administer day-to-day document control processes using systems such as SharePoint, InEight Document, Bluebeam Revu, Procore, or M-Files
- —Manage full document lifecycle for incoming and outgoing deliverables, including transmittals and vendor-generated documents
- —Maintain master document registers and metadata to ensure traceability to final records
- —Control document revisions and ensure current versions are available to stakeholders; properly archive superseded/obsolete documents
- —Support controlled review of design deliverables, including distribution, comment tracking, and resolution activities
- —Enforce document control procedures including naming, numbering, metadata requirements, and review workflows
- —Support management-of-change activities by tracking, distributing, and archiving associated document revisions
- —Incorporate and track field markups, redlines, as-builts, and final record documentation
- —Verify and organize project turnover packages and final project records for commissioning and operations
- —Support quality assurance audits and assessments by locating and providing requested documentation
- —Provide first-line support to personnel on document control workflows, systems, and requirements
- —Maintain confidentiality and security of sensitive, proprietary, and export-controlled information
- —Identify and escalate document-control risks, workflow bottlenecks, and compliance concerns impacting project milestones
Qualifications
- —Associate's degree or equivalent education
- —3 years of relevant document control experience
- —Proficiency with Microsoft Office/Teams, Google Workspace, Adobe Acrobat Pro, Zoom, Slack, Confluence, Jira, or similar platforms
- —Ability to work effectively in a remote and cloud-based environment
- —Willingness and ability to travel up to approximately 15% as required
Desired
- —Document control experience on EPC, capital construction, industrial, energy, or complex infrastructure projects
- —Experience with transmittals, revision control, metadata management, and turnover documentation
- —Processing of engineering, procurement, construction, quality, vendor, and commissioning documentation (owner-side experience a plus)
- —Maintaining document registers, transmittal logs, distribution matrices, and status reports
- —Coordination with EPC contractors, vendors, subcontractors, engineering teams, project controls, and construction teams
- —Experience with SharePoint, InEight Document, Procore, M-Files, or similar platforms
- —Familiarity with management-of-change workflows and documentation processes such as RFIs, NCRs, DCNs, TQs, redlines, and as-builts
- —Exposure to commissioning, turnover, operational readiness, or asset handover documentation
- —QA requirements knowledge for controlled documents in regulated industries; nuclear experience strongly preferred
- —Strong attention to detail with high standards for accuracy, consistency, and completeness
- —Excellent organizational, time-management, and prioritization skills
- —Strong written and verbal communication with cross-team coordination ability
- —Analytical and logical problem-solving with sound judgment
- —Ability to work independently while following established procedures and escalating appropriately
- —Professionalism and discretion with sensitive information
- —Customer-service mindset with collaborative and solution-oriented approach
- —Proactive identification of risks, gaps, and process improvements
Location
Remote/cloud-based work environment with up to 15% travel as required
