Required qualifications

  • 5+ years of related experience in a regulated industry (energy preferred, nuclear strongly preferred)
  • Experience managing both controlled documents and records throughout their lifecycles
  • Associate degree or equivalent combination of training and relevant experience
  • Thorough understanding of Electronic Document Management Systems (EDMS) for document control and/or records management
  • Knowledge of nuclear QA requirements (ASME NQA-1, ANSI N15.8) and the role of document control in supporting regulatory compliance
  • Knowledge of integrated safety management and document change/configuration control
  • Proficiency with EDMS systems (M-Files preferred), SharePoint, Box, Jira, Confluence, Microsoft Word and Excel, Adobe Acrobat Pro
  • Detail-oriented with a quality mindset; organized with ability to prioritize and manage time independently
  • Effective written and verbal communicator; capable of handling sensitive and proprietary information

About this role

Oklo, an advanced nuclear fission company, seeks a Document Control and Records Specialist to manage Electronic Document Management System (EDMS) workflows and ensure all documents and records comply with nuclear regulatory requirements (NQA-1, ANSI N15.8) and industry standards. This role is critical to supporting Oklo's mission in a fast-paced advanced reactor startup environment.

Responsibilities

  • Manage controlled documents throughout their lifecycle—coordinate reviews, process approvals, revisions, supersessions, and ensure document integrity and revision control
  • Process incoming records through the records lifecycle: validate, classify, index, maintain metadata, and ensure accurate filing, retention, retrieval, archival, and disposition
  • Perform quality control checks on controlled documents and records to verify completeness, accuracy, approvals, identifiers, revisions, formatting, and metadata
  • Maintain access permissions for controlled documents, records, and system users; monitor workflow queues and follow up on incomplete or nonconforming submissions
  • Provide first-line user support for EDMS tools, troubleshoot access issues, and escalate system, workflow, or compliance issues as needed
  • Support Document Control Manager with program initiatives, policy updates, procedure drafting, and maintenance of controlled templates and forms
  • Generate routine reports and metrics related to document control and records management activities

Preferred qualifications

  • Bachelor's degree
  • EPC (Engineering, Procurement, Construction) experience in the energy industry
  • Experience performing or supporting technical writing, editing, word processing, or document compositing (layout/formatting)
  • Previous experience establishing a Document Control and Records Management (DCRM) program
  • Hands-on experience with M-Files EDMS

Location, schedule, and travel

Remote with willingness and ability to travel approximately 15% of workdays
